Boost Your Body Membership T&C

The below Terms & Conditions, whilst minimal, are intended to create clarity in the relationship between you and Boost Your Body and act as a set of expectations for both parties.

Please remember that we are a small business with a team which works hard to provide you with a great experience.

As such we don't have many T&Cs but they are important to us and we would ask that you respect them as we respect you.

General

Boost Your Body will use their skills and knowledge to design a safe programme of exercise for The Client.

Boost Your Body will provide the coaching, supervision, advice and support that The Client may need to help The Client achieve their goals.

Boost Your Body will provide all necessary equipment and will organise appropriate venues for all Training Sessions.

It is understood between The Client and Boost Your Body that both will commit to the programme and give 100% effort.

The Client is required to wear appropriate clothing and footwear. Clothes should be loose-fitting and non-restrictive. Footwear should be comfortable and provide adequate support.

All client information will be kept strictly private and confidential in accordance with guidance from the ICO.

The Client recognises that Boost Your Body may take photographs and/or videos during training sessions which may be used for marketing purposes. Before any photos or videos are taken permission will be requested, verbally, from all Clients present and photos will exclude any who do not give that permission.

Unused Sessions

If a Client is unable to use all their Training Sessions in any given month then they are lost.

However, Clients are given a ‘Bonus’ pack of sessions, valid for 12 months, which they can use to ‘make up’ for any sessions ‘lost’.

‘Bonus’ sessions are accumulated at a rate of 1 session per month but are allocated up front for each 12 month period as an act of good faith.

For example, Mary is on Gold Membership and goes on holiday for a week so in that month she only uses 6 of her sessions. The unused sessions are not carried over but instead Mary can dip into her ‘Bonus’ pack of sessions and do 12 sessions the following month, or a different month of her choosing.

Should a Client switch from a Gold Membership to a Silver Membership their ‘Bonus’ pack will be terminated and any unused sessions forfeited.

Should a Client switch from a Silver Membership to a Gold Membership they will receive a ‘Bonus’ pack with 12 sessions which is valid for 12 months from the start of their Gold Membership. Should The Client reduce their membership back to a Silver Membership their ‘Bonus’ pack will be terminated and any unused sessions forfeited.

In the unlikely event that The Client terminates their membership with Boost Your Body, or their ‘Bonus’ pack is terminated (including reducing membership from Gold to Silver) having used more ‘Bonus’ sessions than they have accrued they will be billed the difference at the current rate of the ‘one off training session’ (currently £13.50/session).

Eg Sally joins Boost Your Body in January on a Gold Membership and is allocated a ‘Bonus’ pack of 12 sessions. She decides to use all 12 in 3 months and then terminates her membership with Boost Your Body. Sally would have accumulated 3 ‘Bonus’ Sessions (3 months x 1 ‘Bonus’ sessions per month) at the time of her leaving and thus owe Boost Your Body for 9 sessions (12 used - 3 accumulated). These would be charged at £13.50/session meaning Sally would be required to pay Boost Your Body £121.50. Should this not be paid please note that it is company policy to pass the matter on to our debt collection agency to enable us to recover the sums owed. We are a small business and must look after our Coaches who work hard to provide you with a great experience every time you attend the studio.

The Client will be emailed when their ‘Bonus’ pack is expiring. It is The Clients responsibility to contact admin (admin@boostyourbody.co.uk) to have it renewed. Should there be a lapse between The Clients ‘Bonus’ pack expiring and them contacting Boost Your Body to have it renewed Boost Your Body won’t retrospectively add accumulated sessions.

Cancellation Policies

2 hours notice of cancellation is required for all Training Sessions. This must be done via our booking system, GoTeamUp. Posting in Facebook groups, texting Trainers or any other form of communication will not be treated as a cancellation and the credit will be lost unless The Client removes themselves from the session on GoTeamUp. 

Notice of less than 2 hours will result in that Training Session credit being lost.

35 Days notice is required should The Client wish to cancel their membership and leave Boost Your Body. The Client will be required to complete the membership cancellation request form for their cancellation to be processed.

For clarity this means that should The Client hand in their notice on the 10th of the month their final payment, which will be pro rata’d, will be the 1st of the following month and their membership will expire on 14th of that month.

Eg. The Client hands in their notice on the 10th of June, their final payment will be 1st July and their membership will expire 14th July.

Should this not be provided, and the direct debit cancelled, then please note that it is company policy to pass the matter on to our debt collection agency to enable us to recover the sums owed. We are a small business and must look after our Coaches who work hard to provide you with a great experience every time you attend the studio.

Once notice is provided it is The Clients responsibility to use any outstanding Training Sessions before their membership ceases. Training Sessions owed will not be allowed to be used past the official membership end date.

Should The Client be medically deemed unable to train we will waive the 35 days notice period upon receipt of written confirmation from a medical professional who is legally able to diagnose a condition. This is typically a physiotherapist, an osteopath, a doctor or similar. Please note we do not accept confirmation from level 3 qualified sports massage therapists. They must be qualified to level 4 or above.

Lateness Policy

If The Client is late for a session the session will not be extended and will end at the appointed time.

If a Boost Your Body Trainer is late for a session, additional time will be added to the session or subsequent sessions.

Holidays

If a Boost Your Body Trainer is on holiday they will arrange appropriate cover or, if that is not available the session/s affected will be cancelled and The Client can rebook onto one of the other sessions available that week.

If The Client is on holiday then their position in the group will be retained for them until their return from holiday, if they have Recurring Bookings, and they may 'catch up' the sessions that would have occurred whilst on holiday using their Bonus Sessions.

Pausing Membership

We do not allow memberships to be paused to ensure consistency and fairness in our membership policies. Maintaining continuous membership helps us manage our resources, staff wages and studio maintenance more effectively. It also supports the sustainability of our business operations, allowing us to provide the highest level of service and support to all our clients consistently. We appreciate your understanding and commitment to your fitness journey with us.

Personal Training Terms and Conditions Health Screening

All clients must complete PAR-Q questions on Go Team Up before commencing their regular membership.

Boost Your Body may require a letter of ‘medical clearance’ from your GP. Please be aware that your GP may charge you for this.

Retrospective Financial Agreements

Boost Your Body will not enter into any retrospective financial agreements including, but not limited to, refunding membership fees for sessions not attended, no matter the length of time absent, or altering future membership fees to reflect previous non-attendance.
